Define the renewal decision
UX Audit and Usability Testing can define the renewal decision as an observable task. Give a participant a realistic membership situation and ask them to determine whether they can renew and complete the relevant step. Avoid wording that reveals the expected choice. Record what they look for, where they hesitate and what they believe will happen next. The initial study should answer that decision before expanding to every area of the portal.
Eligibility question
The eligibility question needs an operational answer from the association. Clarify the condition, who resolves an exception and which information a member can reasonably supply. Then observe whether the interface communicates that rule. A mistaken selection can arise from ambiguous wording or from a missing option. Keep the participant’s explanation with the screen context so a redesign recommendation responds to the actual barrier rather than the researcher’s assumption.
Completion evidence
Completion evidence should show what the member and administrator can recognise as finished. A submitted form may still require an eligibility check, so define the states carefully. Ask participants to describe the response they see and the next action they expect. Include a case requiring assistance. The acceptance task should make uncertainty visible, instead of counting every submitted form as a completed renewal regardless of its administrative meaning.

Select participants by use context
CTO Technical Assessment Checklist helps inspect the environment in which the renewal task is used. Select participants by relevant experience, device and reading language, rather than taking a Belgian region as a substitute for behaviour. First-time renewers may need explanations that returning members skip. Decide which contexts the study needs to cover and record those absent from the sample so recommendations retain an honest boundary around observed use.
First renewal
For a first renewal, a member may not know which previous reference matters or where conditions are explained. A returning member may instead look for saved details and a quick correction route. Prepare tasks reflecting those differences without forcing every participant through an identical scenario. Include staff-assisted renewal where it is relevant. That can reveal responsibilities or information requirements concealed by assuming everybody works independently through the same screen.
Actual reading language
Actual reading language belongs in participant selection. Check that the person can understand the task and the proposed edition without informal help changing the exercise. When assistance is needed, record it rather than treating the result as independent completion. Use the selected device and realistic text lengths. The study findings should identify the editions and conditions examined, allowing the association to plan further review without transferring conclusions automatically to every language.

Code wording and navigation separately
Hreflang and Multilingual Website Checklist provides a useful context for coordinating editions, while observed wording and navigation problems need separate records. A member who cannot interpret an eligibility term requires a different response from someone who knows the rule but cannot find the continuation button. Both may happen in one task. Code the observations separately so a translation change is not asked to solve an information-architecture problem that remains unaddressed.
Terminology uncertainty
Terminology uncertainty can be investigated by asking a member to explain a condition in their own words. Compare that explanation with the association’s actual rule. Simplify wording without changing eligibility or concealing an exception. Keep the proposed term, the observed misunderstanding and the reviewer’s decision together. When another edition is prepared, its editor then has the meaning and reasoning needed to review a corresponding explanation rather than a disconnected label.
Lost next step
A lost next step calls for inspecting headings, choice order and feedback. The participant may understand the condition yet fail to see where to continue, or lose entered details after returning to an earlier screen. Observe those actions without immediately coaching the person. Try the revised flow with both an eligible renewal and a case needing assistance. A correct success screen cannot demonstrate that the earlier navigation and recovery work.

Prototype the exception path
UX Audit and Usability Testing can turn exception paths into tasks in the prototype. Include expired membership, uncertain eligibility and information that needs correction. These states influence whether members trust what happened and whether administrators receive useful records. Select the exceptions that matter to the first scope and define their next steps. Do not leave them as generic error boxes to be invented during implementation after the main screens have been approved.
Expired membership
Expired membership should have a route matching the association’s policy. The interface may need to explain review or another available action instead of presenting the normal renewal as completed. Ask the responsible administrator to check that message. Test whether a participant can describe the next step after reading it. Clear wording and a usable route are both required; simply showing an exception label does not establish that the person can recover.
Correction and recovery
Correction and recovery should preserve information where the agreed workflow permits it. Show which field needs attention, why it matters and where focus goes. Test a long reference and a member returning to change an earlier selection. Include a system interruption if it affects the decision. The prototype should describe what happens when a response is uncertain so developers do not have to infer whether another submission is safe.

Specify implementable interface states
CI/CD Release Checklist helps connect design handover with checks of the implemented interface. Review the components, states and interaction notes with the developer who will use them. Walk through one renewal and one exception while that person identifies required behaviour. A file of finished screens can still leave data, focus and recovery unspecified. Record the decisions made during this rehearsal as part of the first package’s handover.
Focus and errors
Focus and errors need a sequence, not just a colour. Specify where keyboard focus starts, how an invalid field is identified and where the member goes after correcting it. Check longer text and increased text size on the relevant layout. If the prototype cannot reproduce a technical behaviour, describe it in an interaction note and include a corresponding implementation check. This keeps the limitation visible without pretending the drawing already tests the live interface.
Component variations
Component variations should cover the states necessary for the agreed task: empty, loading, selected, unavailable and failed where applicable. State which data triggers each variation and what text appears. Avoid multiplying irrelevant combinations while omitting a meaningful exception. Give developers the rule and its reason so implementation questions can be resolved against the member task. A handover review should confirm that the recipient can identify the required states from the supplied material.

Review the change evidence
GA4 Business Measurement Plan Checklist helps relate the proposed changes to later task measurement. Build an observation-to-decision log with the task, screen, observed action, likely barrier and selected response. Keep unanswered questions visible. This record allows the association to prioritise changes without turning a small study into a promise about commercial results. The initial delivery is an inspectable set of decisions and states with a clear plan for checking the revised renewal.
Observation-to-decision log
The observation-to-decision log should distinguish evidence from interpretation. A participant choosing the wrong category is an observation; assuming the label caused it is a hypothesis to examine. Record any operational consequence with the administrator and identify the reviewer approving the response. A rare but serious exception can deserve attention ahead of repeated cosmetic issues. Explain that priority using the task and risk, rather than an invented improvement percentage.
Retest boundary
Set the retest boundary around the changed wording, navigation and recovery. Use comparable tasks where appropriate and consider whether participants have learned the route from an earlier session. After implementation, inspect behaviour again and record what remains uncertain. Separate acceptance of the design package from the next research phase. That makes further work a decision supported by observed use, keeping the association in control of how much to change at once.

Questions and answers
What should our Belgium UX study answer?
Define the specific product task and the decision the study must inform. A broad request to make the interface attractive cannot substitute for an observable task and success condition.
Is a language issue always a translation problem?
No. A participant may misunderstand the underlying eligibility rule or lose the next step even when the words are clear. Record wording, structure and system feedback separately.
Can we reuse the same prototype across editions?
You can reuse shared structure where appropriate, but selected wording and language-specific states need their own review. Participants and reviewers must understand the actual task material.
What makes a design file useful to developers?
States, variations, text behaviour and interaction notes should be explicit alongside the visual components. Review a representative task with the receiving developer before accepting the package.
Can research promise a better conversion rate?
Research can identify observed barriers and support a change decision. The effect after implementation needs an appropriate measurement plan; a supplier’s reported uplift is not your forecast.
How do we decide which finding to address first?
Compare the effect on the renewal task and the operational consequence with the responsible administrator. Keep observations separate from explanations, then prioritise the changes with a clear reason and an achievable retest plan.
