Weight units, currency, date conventions and revisions should remain visible. Reading a scan does not establish legal validity or customs sufficiency. Missing signatures, cropped pages and conflicting amounts go to an authorised reviewer. Keep the original file available to that person. When the same document arrives through another channel, manage document identity and transaction references together so it does not create duplicate entries.

TMS and backend integration should translate actual source events into understandable status. The carrier’s last scan and the moment a customer opens the interface are not the same time. An old event must not be presented as current location. Showing its source and event timestamp helps the customer understand what is established and what is still unknown.
Estimated delivery and confirmed delivery need different meanings. If no new event exists, the previous record can be shown, but should not appear as a fresh update. Assess permitted APIs, files and provider interfaces during discovery; real-time access to every carrier is not assumed. If a query fails, use the approved last-known information and a staff route. CRM and communication automation should expose only the shipments and fields the requester is allowed to see. Knowing a reference number does not always justify full document access. Define separate views for customers, carriers and operations. Commercial amounts, recipient information and another customer’s records must not leak into a general conversational answer.
Delay notifications should follow approved events and communication rules. The assistant should not issue a new delivery guarantee, accept liability for damage or decide compensation. Customs classification, document sufficiency and legal interpretation go to the appropriate experts. In multilingual communication, preserve references, time zones, locations and status meanings. Pass a concise request to staff instead of creating a fluent but unsupported explanation for why a shipment is late.

A proposal should identify sources, field mapping, access roles, review queues, retries and outage behaviour. Deliver anonymised representative cases, acceptance results and an operating guide that staff can actually follow. The integration scope depends on available interfaces.
Assess correctly linked records, mismatches, open exceptions, corrections and information freshness separately. Message volume is not on-time delivery performance.
