Separate campaigns, automation and transaction notices
Start the marketing plan by giving email a clear task: help new subscribers make a choice, explain product use, or notify relevant customers of a development. A campaign sent to a selected audience at a chosen time and an automation triggered by a condition belong to the same communication calendar.
An order or account notice should fulfil its own purpose. Calling a promotional message transactional does not settle its permission requirements. Teams need visibility into other sends; a general campaign can otherwise deliver another offer while a new subscriber is still receiving a welcome sequence.
Instead of activating every available template, begin with one flow. Record the information promised to a new subscriber, the next-message condition, exit rules and what happens after a purchase. This is an illustrative design approach, not a universal three-message sequence or fixed delay.
Record list provenance and communication preferences
Permission-aware automation should use the contact’s source and current communication status together. Keep the signup wording, date, requested communication type and latest preference change understandable. An address in an old spreadsheet or an order record does not by itself decide whether marketing can be sent.
The Turkish Ministry of Trade’s İYS explanation describes central management of commercial-message approvals and refusals. For Türkiye, assess the applicable duties, recipient type and message content with the responsible team. Address verification, commercial-message permission and the basis for processing personal information are separate checks.
Avoid purchased lists and addresses with unexplained provenance. Preserve opt-outs and suppression records when moving between tools. If a preference changes, define which system is authoritative, how other systems receive the change and who handles a failed update. A platform accepting a contact does not complete these controls.

Match each segment to a useful need
Customer lifecycle planning goes beyond age or location. A new subscriber, first-time buyer and someone waiting for a particular product to return may need different information. Use behaviour data only when it is reliable, current and appropriate for that purpose.
Many narrow segments can make a small list harder to produce for and evaluate. Before writing, check inclusion conditions, exclusions and when membership updates. Continuing a cart reminder after someone has purchased is a data and exit-rule problem as well as a messaging problem.
| Illustrative segment | Message purpose | Exit or review condition |
|---|---|---|
| New subscriber | Explain the promised information and preference controls | Signup source and communication status |
| New customer | Show product use and the support route | Actual order and product details |
| Waiting for stock | Provide information about the relevant item | Item, permission scope and current availability |
| Repeat customer | Offer relevant choice or care information | Repeated offers and recent messages |
Give the message one understandable next step
A content brief should identify the segment, reader’s question, main message, destination and required factual checks. The subject and body should set the same expectation. False urgency, invented availability or a misleading impression of an existing conversation are poor shortcuts for gaining attention.
Every email does not need a discount. Product selection, maintenance, use, service processes and useful answers can provide a reason to communicate. A polished design cannot resolve a mismatch between the offer shown in the email and the linked page. Make the main action clear while keeping required preference and unsubscribe options visible.
Message
Explain why the person received the email and what useful information it provides.
Destination
Match the promise, product, date and conditions to the linked page.
Production record
Keep copy, design, offer verification and final approval in the same campaign version.

Combine domain authentication with delivery monitoring
Identify who owns the sending infrastructure. Gmail’s sender guidelines distinguish requirements for all senders and bulk senders to personal Gmail accounts. These cover SPF or DKIM at the general level, with SPF, DKIM, DMARC and relevant one-click unsubscribe requirements for bulk sends. Check the current threshold and scope in the document.
Follow the provider’s setup instructions and inspect authentication on an actual test message. If another team or tool sends from the same domain, review changes together. The person changing DNS should check whether existing transaction notices are affected.
Authentication does not guarantee inbox placement. Monitor volume, delivery failures, complaints and recipient expectations. Review an old list’s source and sending history before a large launch. When delivery fails, inspect provider errors rather than assuming that a different subject line will repair the infrastructure.
Test both sending and stopping
A usability check covers reading the email on a phone and completing the task after clicking. Preserve the basic meaning when images do not load. Test missing personalisation values, special characters and different email clients; essential information should not exist only inside an image.
For automation, test more than the first send. Use sample records to exercise opt-out, purchase, cancellation, duplicate signup and integration-delay conditions. Waiting for a real person to receive the wrong message is not a quality process. The publication owner should know the approved version and how to stop the flow.
Check scope
Review segment size, communication status, exclusions and overlapping campaigns.
Test the message
Check links, mobile display, empty fields, reply address and unsubscribe behaviour.
Test the flow
Exercise entry, re-entry, waits, exit conditions and failure scenarios with sample records.
Publish and observe
Publish the approved version with a responsible team available to handle errors and feedback.
Read opens, clicks and business outcomes separately
A measurement plan defines what each indicator represents. Apple Mail Privacy Protection can download remote content in the background even without interaction. Pixel-based opens therefore do not prove that someone read the message; absence of a reported open should not automatically classify a contact as uninterested.
Review clicks, relevant site tasks, opt-outs, complaints and delivery failures together. Revenue attributed by the platform is not necessarily additional revenue. Consider production, tool and offer costs, repeat-customer behaviour and other channels. Where appropriate, a comparison group can help examine incremental effect.
Keep an experiment focused: for example, do different product-selection explanations affect completion of the relevant site task? Do not declare a definite winner from a handful of clicks. The deliverable is a decision about which message to continue, what to change and which data issue needs resolving first, as well as a report.
BEFORE YOU DECIDE
Frequently asked questions
How do campaigns and automation differ?
A campaign is sent to an audience at a chosen time. Automation runs according to predefined conditions. Manage their combined calendar and exclusions so they do not create conflicting messages.
Can every purchaser join the marketing list?
An order record alone does not settle the decision. Assess the communication type, preference and applicable requirements. Do not assume that transaction notices and marketing messages share the same permission conditions.
Does double opt-in resolve every legal requirement?
No. Confirming an address can be a useful control, but it does not automatically resolve permission wording, records, message categories, personal-data processing or current opt-out management.
How often should we send emails?
There is no universal frequency. Start with subscriber expectations and content capacity, then review opt-outs, complaints and relevant behaviour by segment. Include automation when checking total contact frequency.
Does a high open rate mean the program works?
Not by itself. Privacy and remote-content download features affect this data. Interpret actions relevant to the message’s purpose alongside opt-outs and business outcomes.
Do we need a large platform to start?
Define required functions first: preferences, segments, flows, authentication, testing and reporting. Assess contact or send volume, integration and team costs. A larger tool does not independently create a better program.
