Google Business Profile Checklist

Google Business Profile influences decisions about calling, opening hours and directions. This checklist goes beyond completing missing fields: it checks that control stays with the business, information reflects real operations and changes are traceable. Assign an owner and record the visible outcome for each review.

Verify business ownership and access before editing

Before Google Business Profile optimisation, review the primary owner and current users. A profile controlled only by a former employee or agency creates a problem that editing descriptions cannot solve. Make the authorised business owner and appropriate support roles visible.

Consider individual account permissions rather than sharing the owner’s password. State who may invite users, change roles and remove access. Review pending invitations and people no longer involved. If ownership transfer is required, follow the current official process instead of improvising around it.

When an action is unavailable, investigate the role and profile state first. Creating another record for the same business is not an automatic solution. Keep the profile address, accountable owner and unresolved access tasks in the private review record; do not expose private account details in public website content.

Ownership evidence

Confirm access for an authorised business representative. Use the official transfer route where a previous provider still controls the record.

Roles and invitations

Review users and pending invitations. Select permissions suitable for the task without unnecessary control.

Match name, category and description to the real business

A local SEO plan should align profile identity with services genuinely offered on the website. Use the real customer-facing business name instead of adding location and service keywords. The primary category describes the core business; it is not a separate category for every product sold.

For an illustrative retailer, describing the actual business is more useful than treating every stocked brand as a category. Additional categories should represent relevant activities. Check available features in the current interface rather than assuming that an option visible on another profile is available to this one.

The description can explain what customers will find and any important scope. Avoid unapproved certification, capacity claims or unsupported superlatives. If description and category conflict, return to the real operating model instead of treating the issue purely as wording.

Distinguish addresses, service areas and genuine branches

Multi-location SEO support manages real differences between locations instead of copying one address to every brand record. A customer-facing site, a travelling team’s coverage and a headquarters are not interchangeable. Review eligibility and address representation against the actual business model.

An appointment-based workshop and a maintenance team visiting customers create different access conditions. Defining a service area does not establish an office in that area. Do not represent a virtual office as a staffed branch where customers can visit.

For relocation, closure or branch changes, identify which record requires updating. Map position, address text, website page and telephone should describe the same real place. Test the information through a customer’s directions and first-contact journey.

Record genuine access and operating conditions. Do not create a branch or address only because a local query exists.

Keep hours, contact and ownership separately for each real location. Central management should not conceal different operating arrangements.

Test telephone, website and hours as a customer

The local SEO checklist examines the transition from profile to website. Open the telephone number on a real device and confirm it reaches the correct business. The website link should lead to a relevant working page rather than another company or an unhelpful redirect.

Verify ordinary and special hours against applicable business guidance. The same hours presentation is not appropriate for every industry. Approved holiday changes, temporary closures and service-specific schedules should reflect actual capacity. Use the suitable special-hours setting rather than permanently distorting the normal weekly pattern.

Follow an illustrative customer from the profile into a booking or enquiry. Record conflicting telephone numbers or retired addresses along the way. Saving an edit and confirming accurate public presentation are separate checks; a pending change should not be treated as finished evidence.

Destination check

Open contact and website destinations in the actual customer journey. Record the correct business and relevant landing page.

Hours approval

Have the owner confirm normal and exceptional conditions. Review current industry-specific guidance where applicable.

Visible result

Inspect the public outcome after changes. Assign follow-up for pending or differently displayed information.

Assign responsibility for media and review responses

Profile optimisation work should treat imagery as current business information. Make the context of logos, premises and work examples clear. Another company’s project, an old location or a conceptual illustration should not be presented as a photograph of the current business.

Use plain, solution-oriented language in review replies without disclosing order details, contact information or other private facts. Responding to a complaint and reporting policy-violating content are different tasks. Do not presume that every unfavourable review can be removed.

Feedback requests should reflect genuine experience and current platform policy. Examine incentives, fabricated reviews and selective routing of only satisfied customers rather than adopting them as routine growth tactics. Define who prepares replies, who approves sensitive situations and how urgent service problems are handled inside the business.

Maintain a change register and clear reporting boundaries

Measurement support helps separate profile interactions from actual customer requests. Views or clicks are not equivalent to a qualified conversation answered by the business. The visitor’s next website action may be measured with an appropriate method and data preferences; avoid putting personal details into event payloads.

For changes to names, categories, hours, numbers and links, record the previous value, approval and visible result. This register exposes conflicts when several people make edits. Compare suggested platform updates with the business’s actual information rather than accepting every suggestion without review.

The handover should contain field corrections, access tasks, hours planning, destination evidence and maintenance owners. It cannot promise a map position or customer count. Ongoing care aims to reduce encounters with a wrong number, closed door or obsolete service explanation.

Change evidence

Keep old and new values, approval and result checks for important edits. Assign owners for unfinished tasks.

Reporting boundary

Present interactions, site visits and verified enquiries separately. Missing evidence should not be described as a successful business result.

Does the agency need to own the profile?

Control should remain with an authorised business representative. Consider a suitable support role for the required tasks and manage access or transfer through the official process. Password sharing is not a prerequisite.

Should the primary category be the most searched phrase?

It should represent the real core business. Do not add an unrelated category simply because it resembles a search term. Review current options alongside the actual service.

Can a service area be used as a branch address?

No. Serving a region does not establish a customer-facing office there. Actual premises, access conditions and profile eligibility need separate checks.

Why review special hours separately?

Can negative reviews be deleted?
